Online Retreats – Terms and Conditions

Welcome to Mindful Mindset. These Terms and Conditions explain the arrangements for booking and attending our online mindfulness retreats. Our intention is to create a welcoming, supportive and respectful space in which you can pause, slow down and reconnect with yourself.

Please read these Terms and Conditions carefully before making a booking. By booking a place on our retreats, you agree to these terms.

1. About the Retreat

The online mindfulness retreat is organised and delivered by Delizia Diaz, trading as Mindful Mindset, referred to in these Terms and Conditions as “we”, “us” or “our”.

The retreat is designed to offer participants an opportunity to explore mindfulness, relaxation and personal wellbeing through online sessions and guided practices.

The retreat may include mindfulness meditation, breathing exercises, guided relaxation, reflective activities, gentle movement, discussion and other wellbeing practices, as described in the retreat information provided at the time of booking.

The exact content, format and schedule will be communicated to participants before the retreat.

2. Booking and Payment

A booking is confirmed once we have received your payment in full, unless an alternative payment arrangement has been agreed in writing.

All prices will be displayed in pounds sterling (£) and will include any applicable taxes and charges.

By making a booking, you confirm that the information you provide is accurate and that you are booking for yourself unless otherwise agreed.

Your booking is personal to you and may not be transferred to another person without our prior agreement.

We reserve the right to decline a booking where reasonably necessary, subject to applicable law.

3. Online Access and Participation

The retreat will be delivered online using an online meeting platform and the relevant joining instructions and any necessary access links will be sent to you before the retreat.

You are responsible for ensuring that you have:

  • A suitable internet connection and compatible device.

  • Access to the online platform used for the retreat.

  • A quiet, comfortable and private space in which to participate, wherever possible.

  • Any simple materials or items recommended in advance.

Please join each session promptly and follow any joining instructions provided.

We will make reasonable efforts to ensure that the online sessions run smoothly. However, we cannot guarantee uninterrupted access where technical difficulties arise outside our reasonable control.

If you experience difficulties joining a session, please contact us using the details provided in your booking confirmation.

4. Your Wellbeing and Personal Responsibility

Mindfulness practices can involve periods of stillness, focused attention, breathing exercises and reflection on thoughts, feelings or bodily sensations.

Everyone responds differently to these practices. You are encouraged to participate at your own pace, to listen to your body and to make choices that feel appropriate for you.

You may keep your eyes open, change position, take a break or choose not to participate in a particular exercise.

You are not required to share personal experiences or information with the group unless you decide to voluntarily do so.

If a practice causes you discomfort, distress or unease, please stop the practice and take whatever steps you feel are appropriate to look after yourself.

By attending, you acknowledge that you are responsible for your own participation and for making choices that support your personal wellbeing.

5. Health and Wellbeing Disclaimer

The retreat is intended for general wellbeing, relaxation and mindfulness education. It is not a medical service, psychological therapy or a substitute for professional healthcare, diagnosis or treatment.

We do not claim that participation will prevent, treat or cure any physical or mental health condition, or that any particular outcome is guaranteed.

If you have concerns about whether mindfulness practices are suitable for you, particularly if you have a health condition or are experiencing significant emotional or psychological distress, you must seek advice from an appropriately qualified healthcare professional before participating and communicate any questions or concerns to us prior to taking part in the retreat.

You should not stop or change any medication or prescribed treatment as a result of anything discussed during the retreat.

Any information, guidance or suggestions shared during the retreat are intended for general educational and wellbeing purposes.

6. Respectful Participation and Confidentiality

We aim to create a safe, welcoming and inclusive environment in which all participants are treated with kindness and respect.

All participants are expected to:

  • Treat the facilitator and other attendees respectfully.

  • Respect different perspectives, experiences and personal boundaries.

  • Avoid judgemental, discriminatory, abusive or disruptive behaviour.

  • Respect the privacy of other participants.

  • Refrain from recording, photographing, screenshotting or sharing another participant's contributions without their explicit permission and that of the facilitator.

Participants should treat personal stories and experiences shared during group discussions as confidential and not to disclose them outside the retreat without the individual's consent.

However, because this is a group setting, we cannot guarantee that other participants will maintain confidentiality. Please share only what you feel comfortable sharing.

We reserve the right to remove a participant from a session, or refuse further participation, where their behaviour is seriously disruptive, abusive or otherwise incompatible with the safety, spirit and wellbeing of the group. Any refund in such circumstances will be considered fairly and in accordance with applicable law and the circumstances of the case.

7. Recording and Use of Materials

Unless we expressly inform you otherwise in advance, the live retreat sessions will not be recorded by us.

Participants must not record, reproduce, photograph, screenshot or distribute the retreat sessions, materials or contributions from other participants without our prior permission and, as appropriate, that of other participants.

Any recordings, worksheets, meditation scripts, audio files, written resources or other materials supplied by us remain our intellectual property or are used under the relevant permissions.

These materials are provided for your personal, non-commercial use only. You must not reproduce, publish, distribute, sell or share them with others without our prior written permission.

If any session is intended to be recorded or a recording is to be made available, we will explain the relevant arrangements and obtain any necessary permissions before doing so.

8. Cancellation by You and Refunds

We understand that plans can change. If you are unable to attend, please notify us in writing at info@mindfulmindset.uk.

Where you book online as a consumer, you may have a statutory right to cancel your booking within 14 days of entering into the contract, subject to the applicable legal requirements and exceptions.

Where a retreat is scheduled to take place within that period, or where you request that services begin during the cancellation period, specific legal rules may apply. We will provide any required cancellation information and obtain any necessary consent or acknowledgement before beginning services early.

Nothing in these Terms and Conditions is intended to remove or restrict any statutory cancellation or refund rights you may have.

After any applicable statutory cancellation period has expired, the following cancellation policy will apply, subject to your legal rights:

  • More than 7 days before the retreat: a full refund less any clearly disclosed and lawful non-refundable charges.

  • 7 days or less before the retreat: no refund possible, except where required by law or where we agree otherwise.

  • Non-attendance: If you do not attend and have not cancelled, no refund will ordinarily be offered, except where required by law or where we agree otherwise.

To request a cancellation or refund, please email info@mindfulmindset.uk, including your name, booking details and the date of the retreat.

We will confirm receipt of your request and explain any refund arrangements that apply.

9. Cancellation or Changes by Us

We reserve the right to make reasonable changes to the retreat schedule, activities, facilitator or online platform but only where strictly necessary.

If a significant change is required, we will notify participants as soon as reasonably practicable.

If we need to cancel the retreat, we will notify you and offer a full refund of the amount paid for the cancelled retreat.

Where appropriate, we may offer an alternative date or a suitable replacement arrangement. You will not be required to accept an alternative in place of a refund where a refund is due under these Terms and Conditions or applicable law.

If a session is interrupted or cannot proceed because of circumstances outside our reasonable control, we will make reasonable efforts to provide an alternative arrangement where practicable.

Any remedy or refund will be determined in accordance with these terms and your statutory rights.

10. Technical Difficulties

We are not responsible for problems with your personal internet connection, device, software or other equipment that prevent you from joining or fully participating in the retreat.

If a technical problem on our side prevents the retreat from taking place as advertised, we will make reasonable efforts to resolve the issue, provide an alternative session or offer an appropriate refund where applicable.

If you lose connection during a session, please try to rejoin using the link provided. If you are unable to reconnect, contact us after the session so that we can discuss the available options.

11. Privacy and Personal Information

We will collect and use personal information necessary to manage your booking, communicate with you and deliver the retreat.

Your personal information will be handled in accordance with our Privacy Policy, available on the site.

Please avoid sharing sensitive personal information during group discussions unless you feel comfortable doing so.

We ask all participants to respect the privacy of others and not to collect or share other attendees' personal information without an appropriate lawful basis and permission where required.

If you have questions about how your information is handled, please contact us at info@mindfulmindset.uk.

12. Liability

We will provide the retreat with reasonable care and skill.

Nothing in these Terms and Conditions excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot legally be excluded or limited.

Subject to the above, we are not responsible for losses arising from circumstances outside our reasonable control, or for decisions you make based on your own interpretation of general wellbeing information shared during the retreat.

You remain responsible for your own choices, participation and use of any practices or materials provided.

Nothing in this section affects your statutory rights as a consumer.

13. Complaints and Contact

We value feedback and aim to resolve any concerns fairly and promptly.

If you have a question, concern or complaint about the retreat, please contact us at: info@mindfulmindset.uk

Please provide sufficient details for us to understand your concern. We will review your message and respond within a reasonable timeframe.

14. Changes to These Terms and Conditions

We may update these Terms and Conditions from time to time to reflect changes to our services, operational arrangements or legal requirements.

The version applicable to your booking will be made available to you at the time of booking. Any changes affecting an existing booking will be communicated where appropriate and will not remove rights you have already acquired under the original agreement or applicable law.

15. Governing Law

These Terms and Conditions are intended for use in connection with our online mindfulness retreat for UK-based participants.

They are governed by the laws applicable in England and Wales, as appropriate to our business and contractual arrangements and the courts of England and Wales shall have jurisdiction of any disputes under these terms.

If you are a consumer, nothing in this section deprives you of any mandatory legal protections or rights available to you under applicable law.

16. Acceptance of These Terms

By completing your booking, you confirm that you have had the opportunity to read these Terms and Conditions and understand the arrangements for participating in the online mindfulness retreat.

We look forward to welcoming you and hope that your time with us offers a meaningful opportunity to pause, breathe and reconnect.
